What Is a Virtual CFO?

A virtual CFO is an experienced financial executive who works with a business part-time: budgets, forecasts, cash management, key performance indicators, lender relationships and transaction analysis, without the cost of a full-time hire. The role sits between the bookkeeper, who records, and the owner, who decides.

What does a virtual CFO actually do?

Translate the books into analysis the owner can act on: monthly management reviews, cash forecasts, budgets and variance, margin by product or provider, lender packages and modeling for growth, acquisitions or capital raises.

The work is senior-level judgment applied to the company's own numbers, structured around the decisions actually on the table.

How is that different from a controller or bookkeeper?

A bookkeeper records transactions and reconciles accounts. A controller runs the accounting function and produces reporting. A CFO uses the reporting to advise on what to do next: where the margin went, whether to buy the machine, how to fund growth.

Many companies have the first two and skip the third, which is exactly where the biggest financial mistakes get made.

When should a business engage one?

Growth that strains cash, margin pressure without a clear cause, lender or investor requests for forecasts, a major acquisition or capital decision, or an owner preparing for exit. The common thread is a decision of consequence with too little analytical firepower behind it.

The alternative is learning these lessons during the transaction or the cash crisis, which is the expensive classroom.
